We have been providing document capture services to Central Government departments, the MoD, NHS, Local Authorities, FCA regulated organisations, and businesses of every size and industry since 1974.

Staffing & Policies

All staff is required to give their written undertaking to adhere to our corporate policies and procedures as a condition of continuing employment. Our information and data security policies are available on request.

All staff is cleared to the Baseline Personnel Security Standard (BPSS). BPSS is the minimum pre-employment background check for government employees, the armed forces, and contractors. It is designed to ensure that people working in places where they have access to sensitive information are trustworthy

Certain production staff, managers, and directors have higher clearances; typically SC or Enhanced DBS, to work on specific contracts in dedicated areas.

Our premises constitute a prohibited place as defined by the Official Secrets Acts 1911 – 1989.

Scanning, storage, and document hosting systems are HIPAA compliant, backed up daily, and have alternative power supply. Cloud hosting benefits from 2 dedicated leased lines with automatic failover and is subjected to regular penetration and white hat testing. As part of our disaster recovery policy there are procedures and backup sites in place to continue serving clients should we need to operate from a different production facility.

We work with our clients to develop non-disclosure agreements and service-level agreements specific to the works we are contracted to undertake. All works are then guaranteed to conform to the specifications agreed upon for security, image quality, and data integrity.

Security

All staff and visitor entrances are fitted with biometric entry/exit systems, CCTV, and all data recorded. The premises are fitted with smoke detectors and RedCareGSM intruder systems that are monitored by SECOM via dual channel alarm confirmation technology. The building is fitted with a high degree of physical security including grilles to all easily accessible windows.

All computers require password access and audit trails are retained. Multiple firewalls are in use and anti-virus software is updated hourly. Entry to the server room is by key code access. Back-up data is stored offsite overnight.
